Full-Time Boarding Clerk

BOARDING CLERK JOB DESCRIPTION

Maritime Agency requires a full time, permanent, experienced Ships Agent/Boarding Clerk to join a modest team in our office at Willemstad, Curacao.
The BOARDING CLERK will act on behalf of the company to serve the interests of vessel owners/charterers, clients and port authorities in order to ensure the prompt fulfillment of all requirements.

MAIN DUTIES
• Plan and schedule voyages in consultation with the Operation Manager, nominated from headquarter.
• Arrange clearance for vessels.
• Updating voyage/vessel information in the I Ships system.
• Researching/Compiling/Reporting Port information, vessel data, vessel/voyage performance data, etc.
• Electronically filing operational files/data.
• Arrange the required services at terminal re pilots, tugs, linesmen.
• Preparation of all forms and the payment of all applicable dues on Board during vessel arrival, stayed and departure.
• Effective coordination of all vessel’s requirements including crew changes, stores, spares, supplies and technicians.
• Accurate completion of documentation of vessel’s cargo operations.
• Boarding ships upon berthing and prior sailing at any time of the day including week-ends, public holidays and overnight if it’s required.
• Attending to owner / master / crew requirements.
• Communicate directly with Port Captains regarding vessels and cargo, provide Line Management with reports received from Port Captains, and coordinate directly with Line Management, Port Captain and other personnel as appropriate to determine and order adequate labor for the vessel.
• Review of all Disbursement Accounts and invoices to be performed in view of capturing all invoicing errors and/or achieving cost savings for our organization.
• Preparing pro-forma expenses and updating services rendered and forward it to Operation Manager for its properly process.
• Keeping headquarter informed with report of vessel operations.
• Implement ISO 9001:2008 procedures in operational matters.
• Comply fully with M&M Agency’s HSE Policies and Procedures.
• Comply with and enforce the operational decisions made by Headquarters.
• Assume the functions of the Branch Manager, if it’s necessary.

*The goal being to promote to Operations Supervisor, and being able to carry out the responsibility of coordinating activities of a new boarding clerk.

Ideal candidates will possess the following:
• Previous Ships Agency experience (essential)
• Ability to follow detailed operating procedures but use own initiative when required (essential).
• Ability to work as part of a team (essential).
• Excellent telephone and email manner and interpersonal communication skills (essential).
• Full, clean driving license (essential).
• Strong I.T. skills and accurate keyboard skills Windows (Word, power point, Excel and ship system).

EDUCATION AND/OR EXPERIENCE
A Bachelor’s Degree are preferred, but not required and experience in a marine related field (essential).

LANGUAGE SKILLS
Fluency in English and another language (Spanish) are highly preferred. A candidate must have the ability to read, analyze and interpret packing lists, technical drawings, booking notes, vessel drawings, charter parties and communication with 3rd parties in English.

* The employee must be based in Curacao and available after hours and on weekends/holidays, unless prior planning is arranged, to keep track of the vessels that he is responsible for to communicate with vessel, agents, owners, etc.
